Description of Work Unit

The College of Natural Sciences strives for rigorous professionalism, recognized excellence, and intellectual vitality in its eight departments (Biochemistry and Molecular Biology, Biology, Chemistry, Computer Science, Mathematics, Physics, Psychology, and Statistics) and ten centers. The College offers 12 undergraduate degree programs in addition to Master’s and Ph.D. programs in each department. Position Summary

The Assistant to the Dean is an executive-level position working directly for the Dean to manage the high-level administrative functions of the College of Natural Sciences Dean’s Office, including the Dean’s activities. This administrative professional must exercise excellent judgment and significant discretion, have outstanding communication and critical thinking skills, and excel at coordinating complex tasks with organization and attention to detail. The position is highly visible and therefore requires professionalism and an ability to successfully interact with a wide variety of constituents.

Required Job Qualifications

Bachelor’s degree plus four years of professional experience in an administrative position providing support for senior-level management OR eight years of professional experience in an administrative position providing support for senior-level management

Professional experience in higher education

Professional experience in higher education with an academic unit

Demonstrated ability to successfully interact and communicate with a wide range of people, including culturally diverse communities

Outstanding writing and editing skills

Experience analyzing and interpreting written information

Demonstrated organizational skills and problem-solving ability

Demonstrated ability to prioritize workload and complete projects on time while ensuring high-quality results

Experience working in an environment that requires adaptability, independent management of competing demands, and adjustments to frequent change

Strong desktop computing skills, including experience with all Microsoft Office products (especially Microsoft Outlook), Adobe Acrobat, PeopleAdmin Talent Management System, and Kuali Financial Systems

Essential Duties

Job Duty Category Support for College Processes
Duty/Responsibility

Manage communication flow and ensure compliance with all University policies and procedures for faculty processes including, but not limited to: sabbatical; tenure and promotion; appointment letters; faculty evaluations; background checks; and Summer International Scholars program

Administer Office of Equal Opportunity activities for the College
– Serve as Equal Opportunity Coordinator and resource person for the process of hiring all appointments and reappointments of non-tenure-track faculty, postdoctoral fellows, administrative professionals, and state classified positions
– Act as the College Human Resources liaison

Coordinate with departments and department chairs on College activities

Provide guidance to departments on University policies and procedures

Oversee electronic personnel files and maintain confidentiality on all personnel matters

Maintain, update, and distribute, as appropriate, operating procedures for the College

Duty/Responsibility

Supervise all routine correspondence for Dean
– Screen and direct the Dean’s mail, email, voicemail, appointments, and communications, including from CSU leadership offices
– Make independent judgements on appropriate response to correspondence, and respond when deemed appropriate
– Draft correspondence for Dean, edit as necessary

Administer the Dean’s schedule
– Plan and organize the Dean’s commitments, including scheduling appointments and making travel arrangements
– Route appointments to delegates as appropriate
– Coordinate with the Director of Development to design and execute Dean’s development activities and travel

Facilitate the Dean’s preparation for meetings, plan and implement meetings called by the Dean
– Research, organize, and produce materials for the Dean’s meetings
– Organize College Executive Committee (CEC) meetings, including taking notes/minutes, preparing and distributing documents to CEC members

Assist Dean with presentations and proposals
– Develop, compile, or organize necessary and appropriate data and information

Coordinate with Director of College Communications to generate external communications for the Dean, the Dean’s Office, and the College

Maintain confidentiality and discretion regarding the Dean’s correspondence and activities

Provide appropriate follow-up to ensure completion of tasks delegated by the Dean

Execute special projects and assignments as requested by the Dean
