Description of Work Unit

The Academic and Student Affairs (ASA) Office, housed in the Engineering Success Center, provides support and resources to current and prospective engineering undergraduate students. The college’s recruitment and retention efforts are coordinated in this office, including visit programs, advising, career services, and Diversity Programs in Engineering (DPE). Our staff also direct the Engineering Science program, support the College Curriculum Committee, administer scholarships, and coordinate many College of Engineering events. We are the first point of contact for many of our incoming students and their families, both undergraduate and graduate. The ASA Office is led by the Associate Dean for Academic and Student Affairs and is comprised of three teams that work collaboratively to support student success: Recruitment, Advising, and the Engineering Success Center (career services and DPE).

Position Summary

Do you have a way with words and a talent for connecting with students? Do you think with both the left and right sides of your brain? The Walter Scott, Jr. College of Engineering is seeking a creative yet detail-oriented person to join our team as the Visit Programs and Marketing Coordinator.

The Visit Programs and Marketing Coordinator is responsible for overseeing undergraduate prospective student visit programs, including marketing, event coordination and logistics, and student ambassador team leadership. Housed in the Office of Academic and Student Affairs (the Engineering Success Center), this position will work closely with the recruitment and communications teams to promote on-campus visit programs for prospective students, including writing compelling content for email, web, and print pieces.This position is responsible for managing the student ambassador program, actively supervising and training up to 12 student employees who support visit programs by leading tours, giving presentations, and calling prospective students. This position will serve as a point person for prospective students and families, with a focus on creating access to higher education and providing excellent customer service. This position will also coordinate logistical aspects of engineering visit programs, which include daily engineering tours and visits led by student ambassadors, college participation in university-wide visit days for prospective and admitted students (e.g. Explore CSU, Discover CSU, Choose CSU), and engineering-specific visit days (Engineering Exploration Day and E-Days).

This is a full-time, 12-month administrative professional position reporting directly to the Manager of Strategic Recruitment. Key staff that will work closely with this position include an administrative assistant for events and a web content specialist. Candidates must have a demonstrated ability to manage projects independently as well as to work effectively and collaboratively as part of a team. A strong skillset in prioritization, execution of tasks, and solution-oriented customer service approach is essential to success in this role. Candidates must be able to work a standard schedule (8-5) with some evening and weekend hours required.

Required Job Qualifications

• Bachelor’s degree in communications, marketing, journalism, graphic design, liberal arts, or related field
• At least one year of work experience in marketing, communications, event planning, or undergraduate student recruitment
• Demonstrated experience recruiting, supporting, or working with historically underserved or first-generation students, with a focus on creating access to higher education for underrepresented populations
• Experience in digital marketing including content creation and working within a brand, as demonstrated by portfolio
• A clear and compelling writing style, as demonstrated by cover letter

Preferred Job Qualifications

• Two years of professional work experience in college admissions, higher education marketing, or student affairs
• Demonstrated experience developing and leading student employee teams (e.g. student ambassadors)
• Demonstrated experience with event planning or program management
• Proficiency with the Adobe Creative Suite (InDesign, Illustrator, and/or Photoshop)
• Demonstrated experience working within a recruiting CRM or database (e.g. Slate), including use of CRM data to inform strategy
• Ability to articulate an understanding of and commitment to CSU’s land-grant university mission
• Strong public speaking and presentation skills
• Graduate degree in a relevant area

• Evaluate effectiveness of digital communication campaigns based on open rates, click-throughs, and registrations
• Design and order giveaways for recruitment and outreach events
• Serve as a liaison to the Office of Admissions marketing/communications team

• Oversee recruitment, selection, hiring, and management of student ambassador team (10-12 students)
• Actively supervise the student ambassador team (10-12 students), including overseeing daily tour shifts, time sheets, and data input/tracking.

• Lead biweekly student staff meetings

• Collaborate with the Office of Admissions and Walter Scott, Jr. College of Engineering Event Coordinator to provide ambassador assistance with tours and day-of logistical support for prospective student visit days, including Explore CSU, Choose CSU, Discover CSU, Honors Visit Day, Transfer Visit Day, Boettcher Visit Days, etc.
• Assist with twice yearly Engineering Exploration Day coordination and execution
• Coordinate group visits for high schools and middle schools
• Plan and coordinate the Engineering Days middle school visit program
• Plan and coordinate high ability student visit program in conjunction with the university-wide Honors Visit Day with the purpose of leveraging new full-tuition Scott Scholarships as a recruitment tool
• Respond quickly and professionally to inquiry emails
