Description of Work Unit

Computer Services exists to provide a full range of information systems management, programming, user support and data support activities for Facilities Management by analyzing, designing, developing, implementing, researching and maintaining data and information systems fundamental to the Facilities Management Department’s ability to fulfill its mission.

Position Summary

The position is responsible for maintaining the department’s Integrated Workplace Management System (IWMS). The position works with employees from various units in the department to maintain the data in the systems. The position also works with each unit to analyze their work processes, procedures and policies to determine if, and how, they can be automated in the IWMS. The position is also responsible for helping business units in the department develop, maintain, and document their business processes. The position must remain current with industry standards and acceptable business practice.

Required Job Qualifications

Bachelor’s Degree in Business, Information Systems, or an MBA plus
Two years experience in IT environment demonstrating data migration and integration skills,
Two years experience in business environment developing, modifying and documenting various business processes, and
One year experience doing project management and software implementation.

Preferred Job Qualifications

Experience with Integrated Workplace Management Systems
Experience with SQL
Experience with software implementations
Experience with report writers
Experience with Microsoft Office products. Evidence of strong and professional communication skills with the ability to speak to all levels in an organization

Essential Duties

Job Duty Category Business information Systems Management

Work with units within Facilities to define, document, update and implement Facilities Management business processes. This work may require working with one or more of the following systems: FM’s new Integrated Work Management System (IWMS) Facilities Asset Management System (FAMIS), Sci Quest, Time Clock Plus and Kuali. Interacting with some of these systems may require the use of Oracle SQL or the system’s ETL (Extract, Transfer and Load) tool. Plan, schedule and execute changes as needed. Plan and review work of other project members when necessary by comparing outcomes with expectations, making sure business requirements are met, projects are understood and processes are submitted correctly.

Job Duty Category Data migration and integration

Work with internal units (supervisors, department experts, FM employees) and external units (Information Systems, Business & Financial Services, HR) to define, document, and determine data that needs to be imported into Facilities systems as well as data that needs to be exported into either central or other University systems. Determine how the data should be moved, what data is available to move, and the best way to move the data by utilizing tools such as ETL, and data mapping.

This position will work with department heads and section managers to understand the information needed to support their needs to define, create, document and trouble-shoot reports in the IWMS system. When requested provide reports for management as needed.

Analyze and resolve software/hardware problems by determining root causes. Various methods of resolution are used including programming, changing system configuration, installation of software/hardware, changing user process or providing user more information and contacting other support personnel when appropriate.
